Most health fair companies hand you a vendor list. We hand you the part of the fair employees talk about afterward.

Every health fair has two halves. The clinical half, the screenings, flu shots, and enrollment tables, is already covered by your carrier, your broker, and most corporate health fair companies. The other half is the reason people stay longer than ten minutes, and it’s all we do: facilitated experiences built on The Workday Reset Method™, so every station teaches something employees carry back to their desks. And the flow, placement, and scheduling advice most employee health fair planning services charge separately for is part of every booking.

The Wellness Reset Lounge is the magnet of the fair floor. Recline in a zero-gravity chair under warm red light while gong vibration and a guided meditation play through your headphones, then take herbal tea and a ginger shot on the way back to the fair. Two facilitators keep it flowing; about 20 guests drop in over two hours, 10 to 15 minutes each.

What is an experiential health fair?

An experiential health fair is an employee health fair built around things people do rather than things people take. Instead of rows of brochure handouts, the fair centers on facilitated experiences: a chair yoga micro-session, a ten-minute sound bath, a guided breathing exercise. Employees leave having felt something change.

A pamphlet holds attention for about forty seconds; a facilitated station holds it for fifteen minutes, and gives HR numbers worth reporting: visits, sessions, and a fair people are still mentioning the next week. The strongest fairs pair the clinical side with an experiential layer that keeps people in the room long enough to use it.

How much does it cost to add wellbeing stations to our health fair?+

The Reset Lounge Fair is $1,250 for the full two-hour Wellness Reset Lounge with two facilitators, the same price as booking the Lounge on its own. The Signature Reset Fair is $4,500: the four-hour Lounge, one facilitated station of your choice, an onsite event lead, and an Impact Recap report delivered within 48 hours. Add-on facilitated stations are from $900 per 2 hours each, and larger, multi-day, or multi-site fairs are quoted custom. Every price is all-in for facilitators and equipment at a standard DFW location; travel beyond the metroplex is added to the quote.

Can we book a single station for a fair someone else is organizing?+

Yes. Every station on the menu is available standalone at health fairs organized by your broker, carrier, or another vendor: chair yoga, the Mini Sound Bath Room, The Breathwork Bar, or Wellbeing Mini-Talks, from $900 per 2-hour station. We coordinate directly with whoever runs the floor.

Can our wellness dollars pay for this?+

Often, yes. Many fully insured group health plans include an annual wellness fund, sometimes called wellness dollars, that reimburses employer spending on approved wellness activities, and health fairs, mindfulness workshops, and yoga commonly appear on carriers’ eligible-category lists. The mechanics are simple: you pay us, we give you an itemized invoice, and you submit it to your carrier for reimbursement. Ask your benefits broker or your carrier account manager whether your plan has funds available this year, since they typically reset annually and are use-it-or-lose-it.

Are you insured? Can you provide a COI and W-9?+

Yes. We carry liability insurance for onsite corporate events and provide a certificate of insurance naming your company, along with our W-9, as a standard part of booking. Both usually go out the same week you confirm, so vendor onboarding does not slow your fair down.

How many employees can the stations handle?+

It scales with the format. The Wellness Reset Lounge moves roughly eight to twelve people through per hour as a drop-in: about 20 guests over a two-hour fair and about 40 over the four-hour Signature Reset Fair. Chair yoga and breathwork stations run rotating micro-sessions of about 10 to 15 people at a time, and the Mini Sound Bath Room seats scheduled groups of similar size. For fairs of several hundred employees we add stations or facilitators so lines stay short. Tell us your expected headcount and we will scope the mix.

How much lead time do you need?+

Three weeks is comfortable: book, one planning call with COI and W-9, and we arrive with everything on fair day. We regularly accommodate shorter timelines when the calendar allows, so if your fair is sooner, still reach out.

Do you do biometric screenings or flu shots?+

No, and that is deliberate. We bring the experiences; your benefits broker brings the screenings. Most brokers and carriers already have screening and immunization partners, and our stations are designed to sit alongside them, giving employees a reason to stay at the fair rather than grab a pamphlet and leave.
