Your trust matters to us. This policy explains, in plain language, what information Chakra Hours collects, how we use it, who we share it with, and the choices you have.
01Who we are
Chakra Hours (“Chakra Hours,” “we,” “us,” or “our”) provides live workplace wellbeing programs to employers across the United States. This Privacy Policy explains what we collect when you visit chakrahours.com or engage our services, how we use it, and the choices you have.
We are based in Dallas, Texas. For any privacy question, contact us at info@chakrahours.com or 469-712-4450.
02Information we collect
We collect information in three ways:
- Information you give us. When you request a quote, book a call, download the HR Wellbeing Planning Kit, or contact us, we collect your name, work email, and (where you provide them) phone number, company name, team size, area of interest, and the contents of your message.
- Payment information. When you purchase a program, payment is processed by our payment provider, Stripe. We receive billing confirmation such as your name and the last digits of your card, but we do not store full card numbers on our systems.
- Information collected automatically. Like most websites, we collect limited technical data such as your device and browser type, pages viewed, referring page, and approximate location derived from your IP address, through cookies and analytics tools.
03Sensitive information
We do not seek to collect sensitive personal information through this website, such as information about your health, biometric or genetic data, or precise geolocation. The location data we collect is approximate only and derived from your IP address. Our wellbeing programs are general in nature, and we do not collect or keep health information about the people who take part in them. Please do not send us sensitive information through our forms or by email.
04Information we receive from employer clients
When an employer engages Chakra Hours to deliver wellbeing programs to its team, the employer may give us personal information about its employees or attendees, such as names, work email addresses, and attendee rosters, so that we can schedule and deliver the sessions.
- For the personal information we collect through our own website and marketing, such as inquiries and quote requests, Chakra Hours decides how and why the information is used. In privacy terms, we act as the controller, or business, for that information.
- For employee personal information that an employer gives us to deliver a program, we act on that employer’s behalf and under our agreement with them. We use it only to provide the service. In privacy terms, we act as a service provider, or processor, for that information, and the employer is the controller.
The employer is responsible for providing any privacy notices its employees require and for obtaining any consents needed before sharing their information with us. If you took part in a session through your employer and have questions about how your employer handles your personal information, please contact your employer directly. If you contact us, we may need to refer your request to your employer or ask you to direct it to them.
05How we use your information
We use the information we collect to:
- respond to your inquiries and scope a program for your team;
- process orders, payments, and invoices;
- send transactional and program-related emails, such as confirmations, calendar details, and outcome summaries;
- operate, secure, and improve our website and services;
- and meet our legal, tax, and accounting obligations.
We send marketing emails only where you have asked to hear from us or have an existing relationship with us, and every marketing email includes an unsubscribe link.
07Opt-out preference signals
Some browsers and browser extensions let you turn on a setting, such as the Global Privacy Control (GPC), that automatically tells websites you want to opt out of the sale or sharing of your personal information. Where required by law, we treat these opt-out preference signals as a valid request to opt out for the browser or device that sends them. As explained in this policy, we do not sell your personal information and we do not share it for cross-context behavioral advertising, so there is no sale or sharing for these signals to stop, but we will continue to honor them as the law requires.
09How long we keep it
We keep personal information for as long as we need it for the purposes described in this policy, and then we delete or anonymize it. How long that is depends on the type of information and why we hold it. As general guidance:
- Inquiry and lead information, such as a quote request or a lead-magnet download, is kept for a limited period to follow up with you. If you do not become a client, we delete or anonymize it after that period unless you ask to keep hearing from us.
- Client and order records, including billing confirmation and information needed for financial, tax, and accounting purposes, are kept for as long as the law requires, which is commonly up to seven years.
- Website and analytics data is kept for a limited period in line with our analytics settings and then deleted or aggregated.
These periods are general guidance, and the actual time we keep information may vary where we have a legitimate business or legal reason. You may ask us to delete your information at any time, and we will do so unless we are required or permitted to keep it, in which case we will tell you.
10Your privacy rights and choices
Depending on where you live, and whether a particular privacy law applies to us, you may have some or all of the following rights over the personal information we hold about you:
- Access. Confirm whether we are processing your personal information and request a copy of it.
- Correct. Ask us to fix inaccurate personal information.
- Delete. Ask us to delete personal information we have collected from you.
- Portability. Receive a copy of your personal information in a portable, readable format.
- Opt out. Opt out of targeted advertising, the sale of your personal information, and “sharing” for cross-context behavioral advertising. As explained below, we do not do any of these things.
- Limit sensitive information. Limit how we use or disclose sensitive personal information. We do not seek to collect sensitive personal information through this website.
- Non-discrimination. Exercise these rights without being denied service, charged a different price, or given a lower quality of service.
How to submit a request. Email us at info@chakrahours.com with the subject line “Privacy Request” and tell us which right you want to exercise. You may also write to us at the address in the “Contact us” section.
How we verify you. To protect your information, we will take reasonable steps to verify your identity before we act on a request, usually by matching the details you give us against the information we already hold, such as the email address associated with your inquiry or account. We may ask for additional information if we cannot verify you with what we have. We will not use information you provide for verification for any other purpose.
Our timeline. We will respond within the time required by applicable law. For most state privacy laws this is within 45 days, and we may extend that period where the law allows, in which case we will tell you.
If we deny your request (right to appeal). If we decline to act on your request, we will explain why. Several state privacy laws give you the right to appeal that decision where they apply. To appeal, reply to our decision or email info@chakrahours.com with the subject line “Privacy Request Appeal.” We will review your appeal and respond within the time required by applicable law. Where your state’s law provides for an appeal and you are still not satisfied, we will tell you how to contact your state Attorney General to submit a complaint.
California (CCPA, as amended by the CPRA). If you are a California resident, you have the rights described above, including the right to know and access, delete, correct, and opt out, and the right to limit the use and disclosure of sensitive personal information.
- Categories we collect. In the past 12 months we have collected the following categories of personal information: identifiers (such as your name, work email, and phone number); commercial information (such as the program you inquired about or purchased and limited billing confirmation from our payment provider); internet or other electronic network activity (such as how you interact with our website); and geolocation data that is approximate only and derived from your IP address. We collect this information from you directly, automatically through your use of our website, and in some cases from the employer that engages us.
- Why we collect it. We use these categories for the business purposes described in the “How we use your information” and “Cookies and analytics” sections, such as responding to inquiries, providing and improving our services, processing payments, and meeting legal obligations.
- No sale or sharing. We do not sell your personal information, and we do not “share” it for cross-context behavioral advertising, as those terms are defined under California law. We have not done so in the past 12 months. We do not knowingly sell or share the personal information of anyone under 16.
- Sensitive personal information. We do not use or disclose sensitive personal information for purposes that would give you a right to limit that use under California law.
- No discrimination. We will not discriminate against you for exercising any of your California privacy rights.
- Authorized agents. You may use an authorized agent to submit a request on your behalf. We will ask for written proof that you authorized the agent to act for you, and we may still ask you to verify your own identity directly.
- California Shine the Light. California Civil Code Section 1798.83 lets California residents ask us once a year about personal information we shared with third parties for their own direct marketing. We do not share personal information with third parties for their direct marketing, so there is nothing to report, but you may contact us at info@chakrahours.com with any questions.
Texas, and other states with comprehensive privacy laws. If you are a resident of Texas, then to the extent the Texas Data Privacy and Security Act (TDPSA), which took effect on July 1, 2024, applies to us, you have rights including to access, correct, delete, and obtain a copy of your personal information, to opt out of targeted advertising, sale, and certain profiling, and to appeal a decision as described above. Residents of other states with comprehensive consumer privacy laws, such as Virginia, Colorado, Connecticut, Utah, Oregon, and Montana, among others whose laws are taking effect through 2026, may have similar rights where those laws apply to us. Some of these laws have business-size or volume thresholds, so not every law applies to every company. We honor verified requests to the extent the applicable law requires. To exercise any of these rights, contact us at info@chakrahours.com.
11How we protect your information
We use reasonable administrative and technical safeguards to protect your information, including encrypted connections (HTTPS) and reputable, security-conscious service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
12Children's privacy
Our website and services are intended for employers and working adults. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
13Third-party links
Our site may link to third-party websites and services we do not control. This policy does not apply to them, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.
14Where your information is processed
We are based in the United States and process information here. If you access our services from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those in your location.
15Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “last updated” date at the top of this page, and significant changes will be communicated where appropriate.
